Providing digital imaging services for non-profit institutions is common since such institutions are typically are required to maintain a massive amount of documentation over long periods of time. Our experience spans Charities, Foundations, Religious Organizations, Fraternal Organizations, Historical Societies and Historical Societies. We also do considerable medical digital imaging for hospitals and document conversion for colleges and universities.
The range of applications covered is broad, but includes donations and donor files, expenditures, membership lists, employee files, surveys, publications, director’s minutes and specialized requirements.
Since much of the information that will be converted is sensitive, we generally conduct the digital imaging services and conversion of files onsite at our client’s facility. Document imaging at our site in New York is nevertheless almost always lower-cost alternative.
Each document is identified with appropriate indexing information so that it can be easily retrieved. This might include Individual’s First and Last Names, Identification Number, Document Date, Type of Document, etc. If a Master Database is available, we extract the information and create barcode divider sheets. If not, we manually enter the metadata.
Output is typically in Adobe PDF format, but we can generate digital image files in any format requested. We can deliver the electronic images on CDs, DVDs, Memory Sticks, External Disk Drives or securely transmit them via FTP or VPN connections.
